The problem

People filled in the form and then waited, sometimes for hours, before anyone rang them. By then a lot of them had gone quiet or booked with a competitor, and the team spent its day chasing instead of talking to qualified people.

What I built

Form→GoHighLevel→Make.com→Retell AI call→Booked→Notes in CRM
  1. A lead submits the form and is created in GoHighLevel.
  2. GoHighLevel sends the lead's details to a Make.com scenario by webhook.
  3. After a short wait of about a minute, Make.com hands the details to Retell AI and starts the call.
  4. The AI agent asks the client's qualifying questions.
  5. For qualified leads it checks live availability in the GoHighLevel calendar and books the slot. It can also reschedule or cancel.
  6. When the call ends, the summary and notes are written to the contact in GoHighLevel.
